Booking terms

Cancellation, Amendment & Refund Policy

This policy applies to customized bookings made through The Tailor Trips. Wildlife trips and supplier-specific non-refundable services have separate terms as set out below.

1

Booking Confirmation

A booking is treated as confirmed only after the required advance payment has been received and The Tailor Trips has confirmed the booking in writing.

Unless otherwise stated in the quotation:

  • 50% of the Total Package Value is payable as the booking advance.
  • For services that are non-refundable or require advance commitment, including flights, rail tickets, safaris, permits, special-event bookings, selected hotels, activities or transport, 100% of that component may be collected at the time of booking.

Payment of the booking advance constitutes acceptance of the quotation, inclusions, exclusions, payment terms, cancellation terms and any supplier-specific conditions disclosed before payment.

2

Balance Payment

Unless otherwise stated in the quotation, the remaining balance must be paid at least 15 days before the scheduled travel date.

If the balance is not received by the due date, The Tailor Trips may treat the booking as cancelled by the traveller, subject to the applicable cancellation and supplier charges.

3

Standard Cancellation Charges — Non-Wildlife Trips

Unless the quotation or a supplier-specific condition states otherwise, the following charges apply to voluntary cancellation by the traveller:

Cancellation received before scheduled departure:

46 days or more30% of Total Package Value
22–45 days50% of Total Package Value
8–21 days90% of Total Package Value
0–7 days / No-show100% of Total Package Value

The applicable cancellation period is calculated from the date and time on which The Tailor Trips receives the cancellation request in writing.

Cancellation charges are calculated on the TOTAL PACKAGE VALUE and not merely on the advance amount already paid.

4

Non-Refundable Services

Certain services may carry separate and stricter cancellation terms, including:

  • Jungle safaris
  • Safari permits
  • Flights
  • Train tickets
  • Visas and permits
  • Special-event or festival bookings
  • Non-refundable hotel bookings
  • Transport bookings
  • Activity or adventure bookings
  • Supplier deposits
  • Any component specifically identified as non-refundable before booking

Where a supplier-specific cancellation or non-refundable charge is higher than the standard cancellation amount applicable to that component, the supplier-specific charge will apply.

The same loss or charge will not be deducted twice.

5

Supplier-Specific Charges

The Tailor Trips depends on independent third-party suppliers such as hotels, airlines, rail operators, transport providers, safari operators, guides, activity providers and government or forest authorities.

Where such a supplier imposes a cancellation charge or retains an amount that is greater than the standard cancellation charge applicable under this policy, the actual supplier charge may apply to the affected component.

Supplier-specific cancellation conditions disclosed in the quotation, confirmation or booking communication form part of the booking terms.

6

Refund Calculation

Where a refund is due, it will be calculated as:

Amount paid by traveller
less applicable cancellation charges
less separately identifiable non-refundable supplier amounts
= refund payable

No amount will be deducted twice for the same loss.

Any bank charges, payment-gateway charges or other non-recoverable transaction costs may also be deducted where they have actually been incurred and are not refundable.

7. Refund Timing

Refunds, where applicable, will be processed only after The Tailor Trips receives the corresponding refundable amounts from the relevant suppliers.

The processing period may therefore vary depending on the supplier.

The Tailor Trips will endeavour to process the traveller's refund promptly after recoverable amounts are received and reconciled.

8

Date Changes and Rescheduling

A request to change travel dates may be treated as a cancellation and rebooking where the existing reservation cannot be freely amended.

The traveller will be responsible for any applicable:

  • Hotel amendment or cancellation charges
  • Transport charges
  • Safari or permit amendment charges
  • Airfare or rail fare differences
  • Activity charges
  • Rebooking fees
  • Supplier price increases
  • Taxes or government levies

A requested date change is subject to availability and is not guaranteed.

9

Change of Traveller or Name Correction

Name changes, traveller substitutions or corrections are subject to the rules of the relevant supplier.

Where airlines, railways, hotels, safari authorities or other suppliers do not allow a name change, the booking may have to be cancelled and rebooked.

Any resulting cost will be payable by the traveller.

10

No-Show and Unused Services

No refund will be payable for services that are:

  • Unused
  • Partially used
  • Missed because of late arrival
  • Missed due to failure to report at the required time
  • Voluntarily skipped
  • Lost because of a traveller's change of plan
  • Missed because the traveller did not carry required documents, permits or identification

This includes accommodation, transport, safaris, activities and other confirmed services.

11

Traveller-Caused Disruption

The Tailor Trips will not be responsible for additional costs arising from circumstances caused by the traveller, including:

  • Missing a flight, train, safari or transfer
  • Arriving late
  • Incorrect or incomplete travel documents
  • Passport or visa issues
  • Failure to comply with supplier or government requirements
  • Refusal of entry by immigration or another authority
  • Personal change of plans during travel

Any new booking or alternative arrangement requested in such circumstances will be subject to availability and additional cost.

12

Force Majeure and Events Beyond Our Control

Where travel is affected by circumstances beyond the reasonable control of The Tailor Trips, including:

  • Natural disasters
  • Severe weather
  • Floods, landslides or cyclones
  • Government restrictions
  • Border closures
  • Strikes
  • Civil disturbances
  • Epidemics or pandemics
  • Forest closures
  • Road closures
  • Airline disruption
  • Events affecting safety or access

any refund will be subject to the amount actually recoverable from the relevant suppliers.

Where suppliers offer a credit, rescheduling or future-use voucher instead of a cash refund, the same may be passed on to the traveller, subject to the supplier's terms.

13

Cancellation or Material Change by The Tailor Trips

If The Tailor Trips itself cancels a service for reasons within its reasonable control and the service cannot be provided or reasonably substituted, any amount recoverable for that affected service will be refunded or credited as agreed with the traveller.

This does not override supplier restrictions or force-majeure conditions.

14

Written Cancellation Requirement

Cancellation requests must be sent in writing by:

  • Email
  • WhatsApp to an official Tailor Trips number
  • Any other written channel specifically confirmed by The Tailor Trips

The cancellation date will be the date and time the request is actually received.

Telephone conversations alone will not be treated as formal cancellation unless confirmed in writing.

Special terms

Wildlife Cancellation Policy

Wildlife trips involve advance commitments to forest departments, safari portals, hotels, transport providers and other suppliers.

These terms apply in addition to the general cancellation policy.

Where there is any inconsistency, the stricter wildlife or supplier-specific term will apply to the affected component.

15

Wildlife Cancellation Schedule

31 days or more30% of Total Package Value
15–30 days50% of Total Package Value
8–14 days75% of Total Package Value
0–7 days100% of Total Package Value
No-show / missed safari100% of affected service / package, as applicable

16

Safari Tickets and Permits

Once a safari permit, safari ticket, forest entry or related wildlife booking is confirmed, that component may become wholly or substantially non-refundable according to the relevant forest department, booking portal or operator.

The traveller will be informed of known non-refundable conditions before or at the time of booking wherever practicable.

17

Wildlife Booking Advance

The normal 50% booking advance may still apply to the overall package, but any safari, permit or other non-refundable wildlife component may require 100% advance payment.

Once such an amount has been committed to the relevant supplier or authority, it may not be refundable.

18

Safari Zone, Date and Timing Changes

Safari zones, entry gates, time slots, vehicles and guides may be allocated subject to forest-department and operator rules.

A request to change:

  • Safari date
  • Safari timing
  • Zone
  • Gate
  • Vehicle
  • Traveller name

is subject to availability and applicable rules.

A confirmed safari may need to be cancelled and rebooked rather than amended.

Any additional charge or non-refundable amount will be payable by the traveller.

19

Missed Safari / Late Reporting

Safari entry authorities generally operate strict reporting and entry times.

If the traveller arrives late, fails to report at the designated point, does not carry required identification or otherwise misses a confirmed safari, no refund will be payable for that safari or related service.

20

Wildlife Closures and Operational Changes

National parks, sanctuaries and forest authorities may change:

  • Opening dates
  • Zones
  • Gates
  • Routes
  • Safari schedules
  • Vehicle rules
  • Entry rules

for conservation, weather, administrative or safety reasons.

Where such a change is outside the control of The Tailor Trips, refunds will depend on the amount actually refunded by the forest authority or supplier.

21

Wildlife Sightings

Wildlife sightings cannot be guaranteed.

Failure to see a particular animal, including a tiger, leopard, lion or other species, does not constitute failure of service and does not entitle the traveller to a refund.

22

Wildlife Supplier Charges

If a hotel, safari operator, forest department, vehicle provider or other supplier imposes a non-refundable or cancellation charge greater than the standard wildlife percentage applicable to that component, the actual supplier charge will apply.

The same loss will not be deducted twice.

23

Customized Quotations

Because The Tailor Trips creates customized trips, an individual quotation may contain cancellation terms that differ from this general policy due to destination, season, hotel, transport, safari, airline or supplier conditions.

Where such terms are clearly disclosed before payment, the terms stated in the quotation or booking confirmation will apply to that booking.

24

Reasonableness and Applicable Law

This policy is intended to reflect actual booking commitments, administrative work and supplier cancellation exposure.

Cancellation and refund terms remain subject to applicable Indian law.

25

Acceptance

By making the booking payment, the traveller confirms acceptance of:

  • The quotation
  • The itinerary
  • Inclusions
  • Exclusions
  • Payment schedule
  • Cancellation policy
  • Wildlife cancellation policy, where applicable
  • Supplier-specific terms disclosed before payment
